How to prepare trainng groups and who will be your lector, how to prepare training environment

Because of the succesfully finished steps before your Teamogy is ready to welcome users and you should preapre your Onboarding team to handover the knowledge to your team. Before the training itself, is necessary to do great preparation. Training is the key thing in the whole onboarding and it worth to pay attention to this step.
QUICK OVERVIEW OF THIS STEP
Training groups
The key is to prepare well your training groups to be able further plan who will need what kind of training. That will give you also idea about the needed time to traing particular group.
You know what you want to be used in your Company from wide range of Teamogy features. Only limited number of users will know everything so each user will have training ready made exactly just for his activities and duties.
Your company might have some slight changes, but our most common groups for training are:
- Client service (4 hours)
- Executives (2 hours)
- Finance (4 hours)
- Back office (3 hours)
- Admins (3 hours)
- Management (4 hours)
Jobtitles that are the most common in this group:
Account managers, Account executives, Project managers, Client service directors, Account directors, Production managers, Architects, Business managers, Consultants,..
The common activities of this group in Teamogy:
– Create clients (brands) / Business contacts / Suppliers in contacts
– Open Jobs for clients or business contacts
– Creating documents for clients/business contacts/internal mostly meeting reports
– Creating Quotations for their Jobs
– Communication about quotation approval with clients
– Assigning Tasks to other team members
– Communication about taks outputs and closing of tasks
– Recording of Time tracks to the client jobs/client overheads or internal overheads
– Third party services management – Raising of Purchase orders
– Approval of Purchase invoices and allocating them to their jobs
– Composing of Client invoices and sending them to financial department
– Check of financial status of jobs/clients and closing of jobs
The common duties of this group in Teamogy:
– Management of client jobs (timing and financial)
– Organisation of Team who is working on the jobs
– Reporting of timesheets with client
– To have profitable client activities

The common activities of this group in Teamogy:
– Working on Tasks what are assigned to them
– Communication about taks outputs and changing status of tasks to done
– Recording of Time tracks to the client jobs/client overheads or internal overheads and their tasks
The common duties of this group in Teamogy:
– Management of client jobs (timing and financial)
– Organisation of Team who is working on the jobs
– Reporting of timesheets with client
– To have profitable client activities
Jobtitles that are the most common in this group:
Financial managers, Financial directors, Financial Controllers, Accountants, Financial supervisors,…
The common activities of this group in Teamogy:
– Create clients (brands) / Business contacts / Suppliers in contacts
– Contacts certification
– Opening of Internal/Client overheads
– Creating budgets for Internal overheads
– Third party services management for internal overheads – Raising of Purchase orders
– Entering Purchase invoices and allocating them to jobs/overheads
– Approving of Client invoices and sending them to clients
– Entering of Cashbox transactions and taking care about petty cash
– Controlling of proper invoicing to clients
– Checking issues in financial Reporting
– Marking the payment status of invoices
– Composing and checking of time reports (for management/clients)
– Final approving of Absence requests
– Composing data for payroll of people
The common duties of this group in Teamogy:
– Contacts are valid and updated
– Internal work and costs are properly allocated to relevant Overheads
– Clients are invoiced in time for proper amount
– Third party costs are allocated properly and approved
– Timetracks are in time recorded by users
– Financial stability of company business

Receptionists, Back office managers, Happines managers, HR managers
The common activities of this group in Teamogy:
– Create clientts (brands) / Business contacts / Suppliers in contacts
– Contacts certification
– Opening of Internal overheads
– Third party services management for internal overheads – Raising of Purchase orders
– Entering Purchase invoices and allocating them to jobs/overheads
– Entering of Cashbox transactions and taking care about petty cash
– Entering of their time tracks to internal overheads
– Creating and management of users (mostly HR)
– Entering of Contracts and other documents to system
The common duties of this group in Teamogy:
– Contacts are valid and updated
– Third party services are properly ordered from Internal overheads
– All purchase invoices are in the system
– All cash transactions are in proper orders
– Timetracks are in time recorded by users
– All new users are in system
– Contracts and important documents are in the system

IT managers, Owners, CEOs,
The common activities of this group in Teamogy:
– Creating of users
– Set up of access rights
– Helping others to find the way how to
– Third party services for IT and internal purpose are ordered for internal overheads – Raising of Purchase orders
The common duties of this group in Teamogy:
– New users are created in time and properly
– Users are updated (change of job title,..)
– Help others to set their Teamogy
Jobtitles that are the most common in this group:
Owners, Top management, Controllers
The common activities of this group in Teamogy:
– Approving of Quotations over limit of juniors
– Approving of Purchase orders over limit of juniors
– Approving of selected Purchase invoices
– Approving of Client invoices
– Controlling of proper conditions of Jobs
– Controlling of Jobs and Tasks efficiency
– Controlling of users timesheets
– Controlling of Internal Overheads costs
– Controlling of various reports
The common duties of this group in Teamogy:
– All users are doing well with their duties
– Are not the bottleneck in the common activities of other users
As you can see there are many of various activities, but you should be able to split guys into teams using the chart with examples above. We recommend to have one group with maximum of 10 people to have good and smooth training. Based on this you will probably know how many groups and what “kind” of groups you have.
The lector
At the begining of cooperation with Teamogy you decided if you want to have training provided by Teamogy consultant as a part of your onboarding programme or you are going to do it your own way.
In case you are going with Teamogy consultant it is necessary to share with him this step and prepare it together.
In case you are going your own way, you have two available options:
Self training of users or Training provided by your Onboarding manager
Self training – you can use wide range of our descriptions and video tutorials and let your users to read or watch ones they should to know
Training provided by Onboarding manager – Onboarding manager will get to familiar with all the training sessions in advance, using Teamogy video tutorials or descriptions and than will guide your team throughout the training sessions.
